AI Defects and Handover Administrator · Australia

Practical completion was months ago. The handover pack is still in eleven inboxes.

Blair keeps the defect register current from practical completion to the end of the defects liability period, drafts the follow-up for every outstanding rectification, tracks each contractual date before it expires and assembles an indexed handover pack that names exactly what is still missing and who owes it—while a named human decides what is a defect, confirms every rectification and signs every document.

  • Human approval
  • No notice or certificate issued
  • Defect decisions stay human

[ RECOGNISE THE CLOSEOUT? ]

The project finished.
The paperwork did not.

Blair is designed for the administration that runs after practical completion—register upkeep, the evidence chase, date tracking, pack assembly and the weekly missing-items report—not for deciding what is a defect, confirming a rectification, issuing a notice or signing a handover document.

01

Register upkeep

Log every notification with its source, date, location, responsible trade and current state, in one register your team reads.

02

Evidence chase

Draft the follow-up for each item whose photo, report or certificate is overdue, on a fixed weekly pass.

03

Date tracking

Track each contractual and statutory date on the project and surface it with lead time, before it expires.

04

Pack assembly

Collect as-built drawings, operation and maintenance manuals, test and commissioning records and compliance certificates into one indexed set.

05

Missing-items report

Write up what is still outstanding each week: the document, the trade or supplier who owes it, and how long it has been open.

06

Closeout checklist

Keep the closeout checklist honest, so the person signing it can see the evidence behind every line.

[ START WITH ONE PROJECT ]

Choose one closeout workflow.
Define what “done” means.

Blair does not decide what is a defect, confirm a rectification or sign a document. Start with one bounded workflow, one named approver and one visible completion state.

WORKFLOW / 01REGISTER & CHASE

Register upkeep and the evidence chase

Keep one project's register current from every source your team uses, and draft the follow-up for each item whose evidence is overdue on a fixed weekly pass.

START
Your register or export, notification sources, trade contact list and follow-up template
DONE
Every open item logged, aged, and either evidenced or shown as outstanding with a drafted follow-up
HUMAN
Your site person confirms each rectification, and approves every message before it is sent
WORKFLOW / 02PACK & INDEX

Handover pack assembly and the missing-items index

Build one indexed handover pack against your own document checklist, and report each week on exactly which documents are still outstanding and who owes them.

START
Your document checklist, trade and supplier list, and the store the pack will live in
DONE
Pack indexed against the checklist, every gap named with an owner and an age
HUMAN
Your closeout owner accepts the pack and signs every document that requires a signature
WORKFLOW / 03DATES & CLOSEOUT

Date tracking and the closeout checklist

Track the dates that matter on one project and surface each with the lead time your team sets, while keeping the closeout checklist tied to the evidence behind it.

START
Your contract dates, closeout checklist, lead-time rule and escalation route
DONE
Every tracked date surfaced with lead time, each checklist line tied to its evidence
HUMAN
A named person decides what each approaching date requires and signs the closeout

[ A JOB DESCRIPTION, NOT A PROMPT ]

What Blair can own.
What Blair must hand back.

Prepare-and-flag, always. A named human decides whether an item is a defect, confirms every rectification, approves every message before it is sent, and signs every handover document.

GREEN

Administrative work

Configured, tested and measured within one bounded workflow.

  • Log every notification into the register with source, date, location, responsible trade and state
  • Keep the register current from the sources your team already uses: platform export, shared drive, spreadsheet or inbox
  • Age each open item and show how long it has been waiting on evidence
  • Draft the follow-up correspondence for items whose photo, report or certificate is overdue
  • Track each contractual and statutory date on the project and surface it with the lead time your team sets
  • Collect as-built drawings, operation and maintenance manuals, test and commissioning records, compliance certificates, asset registers and supplier guarantee documents into one indexed pack
  • Write the weekly missing-items report: the document, the trade or supplier who owes it, and its age
  • Keep the closeout checklist tied to the evidence behind each line, for human review
AMBER

Human approval

Prepared by Blair; accepted or decided by your named team member.

  • Every message to a subcontractor, supplier, principal, owners corporation, regulator or lawyer, before it is sent
  • Every closure of a register item, which follows your site person's confirmation
  • Every handover pack handed to a client, and every document inside it that requires a signature
  • Every escalation raised when a trade stops responding or a date is approaching with nothing in hand
  • Changes to the document checklist, the lead-time rule, the follow-up schedule or the escalation route
  • Changes to your retention settings and to what project data Blair may hold at all
RED

Human only

Outside the worker's authority by design.

  • Deciding whether an item is a defect, and whether it falls inside the defects liability period or a manufacturer's warranty
  • Verifying that a rectification is complete, which stays with your named site person
  • Releasing, withholding or recommending retention, a progress payment or the final payment
  • Issuing a notice, a response or any correspondence to a principal, owners corporation, regulator or lawyer without an approved send
  • Signing, issuing or certifying any handover, compliance or completion document
  • Lodging a warranty claim, an insurance claim or any submission to an external party
  • Any clinical, legal, financial, safety-critical, employment or identity decision

[ MINIMUM ACCESS BEFORE AUTOMATION ]

Your contract file is not a demo input.

The load audit starts with a blank register template, a redacted extract and your own counts—not the live project file, the contract, or a platform login. Live access follows a written map of purpose, minimum fields, human approval, retention and escalation.

Blair works with item descriptions, locations, dates, document names and trade contacts. No contract sums, no progress payment figures, no principal or owner personal details beyond the contact your team nominates. The default is working from exports you provide, with no write access to your project platform.

  1. 01

    Audit without sensitive content

Bring a blank register template, a redacted extract of ten to twenty items and your document checklist. Remove principal and owner names, addresses, dollar figures and fields not needed to map the work.

  2. 02

    Map minimum access

Consider only the register, notification sources, document checklist, trade contact list and date schedule required for the approved workflow.

  3. 03

    Test synthetic cases

Cover a trade that never responds, an item reported twice under different wording, a document with no identified source, a date approaching with nothing in hand and an item closed without evidence—using invented examples.

  4. 04

    Name the human owners

Name who decides what is a defect, who confirms a rectification, who approves each send, who signs the closeout, and who receives an escalation.

[ AN OPERATING SPECIFICATION ]

The record is current.
The decisions stay yours.

Turnaround is set during onboarding against your own reporting rhythm. New notifications are logged within one business day; the missing-items report and the approaching-dates list arrive on the weekday your team picks. Start with one bounded workflow—register and chase, pack and index, or dates and closeout—and widen only after the test set supports it. Anything that reads as a safety hazard, a structural concern or a legal threat leaves the standard queue immediately and undiagnosed.

Register extract
Every open item with location, responsible trade, age and current state

What is outstanding, who owes it, and how long it has been open
Approaching dates
Each tracked date with its lead time and the evidence held so far
CONTROL / 01APPROVAL

No message leaves without a human

Every follow-up, escalation and external message stays a draft until a named human approves the send. Blair never corresponds with a principal, regulator or lawyer on its own.

CONTROL / 02AUTHORITY

No defect call from Blair

Whether an item is a defect, and whether it sits inside the liability period or with a supplier, is decided by your contract administrator. Blair records the decision; it does not make it.

CONTROL / 03CLOSURE

No item closes on a trade's word

Rectification is confirmed by your named site person. Blair shows the evidence received and marks an item closed only after that confirmation.

CONTROL / 04MEASUREMENT

Use your own counts

Track open items and their age, items evidenced and confirmed, documents outstanding against the index, and dates surfaced before they expired—against your own baseline.

Capacity is scoped per project, per open-item volume and per document checklist length during onboarding, not sold as a flat seat. One Blair seat is sized to the register, follow-up, indexing and reporting volumes agreed in the load audit, across a small number of concurrent projects. New projects, new document standards, new platforms or any system write require a new scope and test set.

[ FREE HANDOVER LOAD AUDIT ]

[ FROM LOAD AUDIT TO TRACKED WORK ]

One workflow.
Proof before expansion.

STEP 1

Free load audit

Use your own open-item, follow-up and outstanding-document counts to baseline the work and choose one workflow. No live contract file is required.

STEP 2

Map minimum access

Define the register, notification sources, document checklist, trade contacts and date schedule Blair needs, plus each approval, retention and escalation owner.

STEP 3

Test synthetic cases

Exercise an unresponsive trade, a duplicate item worded two ways, a document with no source, an approaching date with nothing in hand and a closure without evidence, using invented examples.

STEP 4

Run one workflow

Start in approval mode after synthetic-case testing passes and every required human owner is named. The reporting day and review window are set during the load audit.

[ BEFORE THE AUDIT ]

Questions a careful closeout owner should ask.

Does Blair decide what counts as a defect?

No. Whether an item is a defect, and whether it sits inside the defects liability period or with a supplier, is a contractual and sometimes legal judgement. Blair records the notification exactly as it arrived, routes it to the person your contract says decides, and tracks the decision once it is made.

Can Blair close a defect once the trade says it is fixed?

No. A defect is closed when your named site person says it is closed. Blair records the rectification evidence received, shows what is still outstanding, and marks the item closed only after your person confirms it.

Does Blair send messages to subcontractors on our behalf?

Blair drafts them; a named human approves every send. Nothing goes to a principal, an owners corporation, a regulator or a lawyer without that approval, and Blair never signs, issues or certifies any document.

Does Blair lodge a warranty claim with a supplier?

No. Blair collects and indexes the supplier guarantee documents that belong in the handover pack and stops there. Warranty claim lodgement belongs to Iris, our warranty claims administrator, who prepares and tracks claim packs against a manufacturer.

How is Blair different from your quality systems worker, Arden?

Arden owns the management system that governs how work is controlled across the business: controlled documents, revision control, internal audits and corrective actions. Blair administers one project's obligations after practical completion — the defect register, the rectification chase and the handover pack — and stops when that project is closed out.

Do we need a defects platform for Blair to work?

No. Blair works from what you already have: a platform export, a shared drive, a spreadsheet or an inbox. Where you do run a platform, read-only export access is optional rather than assumed, and any system write requires a separately approved scope and test set.

What does the load audit need from us?

A blank register template, a redacted extract of ten to twenty items and your document checklist, plus counts: open items, items received per week, and documents still outstanding. Remove principal and owner names, addresses, dollar figures and anything not needed to map the work.

What result do we measure?

Four counts you already own: open register items and their age, items with rectification evidence attached and confirmed, documents outstanding against the handover index, and the number of contractual dates surfaced before they expired rather than after.

What happens when a subcontractor stops responding?

Blair escalates on the schedule you set during onboarding: the follow-up record goes to your named contract administrator with the full history of what was sent, when, and what was received. Blair does not decide to withhold retention, issue a notice or engage another trade — those stay with you.

What does Blair do beyond a defects app?

A defects app stores what people remember to enter. Blair works the gap around it: which trade owes evidence and has not sent it, which document in the handover index has no source yet, which date is approaching with nothing in hand, and which item has sat open long enough to need a decision from a person.

[ START WITH YOUR OWN BASELINE ]

Bring the open register.
Keep every decision.

Map one approval-ready closeout workflow and test whether careful administration keeps the record current, the evidence chased and the handover pack indexed without giving away a single defect, rectification, payment or signing decision.
