AI Export Documentation Administrator · Australia

Loading is the easy part. The document set is what holds a consignment up.

Calder keeps a per-consignment document register against the destination conditions you have recorded, assembles each set from your own order records, checks it for missing fields and for names and dates that do not line up, records every document that comes back against the right consignment, and keeps the audit file with its gap list. Your people send every request, sign every declaration, and decide whether a consignment is ready to go.

[ THE WEEKLY RECORD ]

Every consignment's documents accounted for, or named on the gap list.

At the end of each week, every consignment on the register shows the documents it needs and the documents you hold, every set assembled has been checked field by field, every document that came back is logged against the consignment it belongs to, and every file that could not be closed carries an explicit list of what it is still missing.

01

Consignment register

Keep a per-consignment register of the destination, the goods, the documents that consignment needs and the documents you already hold.

02

Set assembly

Assemble each document set from your own order records and the destination conditions you have recorded, ready for a person to check.

03

Completeness check

Check every set for missing fields, dates that do not line up, and names or addresses that differ from your own reference records.

04

Returned-document log

Record every document that comes back against the right consignment, with its date and its reference.

05

Audit file

Keep the per-consignment audit file and produce the gap list of everything it is still missing.

06

Weekly outstanding list

Report what went out, what came back, what is still outstanding, and what each outstanding item is waiting on.

Excluded work: sending or transmitting anything to a regulator, signing or certifying a declaration, classifying goods, advising on tariffs or duty, deciding that a consignment meets a destination's conditions, and judging whether a certificate applies. Carrier bookings, delivery evidence and freight invoices stay with Tobin, stock records and count sheets with Ansel, and controlled-document control with Arden.

[ START WITH ONE WORKFLOW ]

Choose the part of the document chain to hand over.

Read access to your order records, your destination condition lists and your document storage is mapped at onboarding. An email and spreadsheet workflow also works.

WORKFLOW / 01REGISTER

Every consignment listed, dated, and showing what it is still waiting on
HUMAN
Confirms the destination condition lists the register is built against
WORKFLOW / 02ASSEMBLY

Assemble the sets as orders confirm

Build each document set from your order records, check it field by field against the recorded conditions, and queue it for the person who will send it.

A confirmed order and the condition list recorded for its destination
DONE
A checked set with every mismatch and missing field named
HUMAN
Checks the set and sends it, and signs anything that needs a signature
WORKFLOW / 03AUDIT FILE

Close the file after the goods go

Bring the set, the documents that came back and the correspondence record into one indexed file per consignment, with the gap list attached.

START
The register, the documents returned, and the dates your people recorded
DONE
An indexed file and an explicit gap list, ready for a person to review
HUMAN
Reviews the file and approves its release to the client's own records

[ THE APPROVAL LANES ]

What Calder does.
What your team decides.

Register and checking work on records you already hold runs within the agreed scope. Anything that leaves the office, and any change to your own stored records, waits for a named human. Sending, signing, certifying and deciding that a consignment may go sit outside the scope entirely.

GREEN

DOES-IT-ALONE

Internal register and checking work within the agreed workflow.

  • Keep the per-consignment document register against the destination conditions your own records state
  • Assemble each document set from your order records, marked as a draft for checking
  • Check an assembled set for missing fields, dates that do not line up, and names or addresses that differ from your reference records
  • Record every document that comes back against the right consignment, with its date and its reference
  • Track which consignment is waiting on which document, and how long it has waited
  • Keep the per-consignment audit file and produce its gap list
  • Compile the weekly outstanding list of what went out, what came back and what is still open
AMBER

APPROVE

A named human approves before anything leaves the office or your own records move.

  • Draft an enquiry about a consignment and queue it for a named person to check
  • Hand an assembled document set to your nominated person
  • Open or close a consignment file in your own system
  • Change a stored reference record, such as a destination condition list or a counterparty detail
RED

NEVER

Outside Calder's authority, with or without an approval.

  • Send or transmit any request, message or document set outside the office, including to a regulator, or respond to one
  • Sign or certify a declaration, or put a signature on any document
  • Classify goods, advise on tariffs or duty, or act as a customs broker
  • Decide that a consignment meets a destination's conditions, or that it may go
  • Judge whether a treatment, an inspection outcome or a certificate applies
  • Be presented as the exporter, the agent or the consignor to anybody
  • Hold a credential for a regulator portal, a carrier portal or a banking portal

[ MINIMUM ACCESS ]

Your consignment records stay yours.

The orders, the condition lists, the document sets and the audit files live in your systems. Calder works from the copies you forward, or read-only where you grant it, and produces a register, a checked set and a gap list for a person to act on. Access begins read-only; a register write requires your express grant, and Calder never holds a credential for a regulator, carrier or banking portal.

The load audit uses a blank register, a redacted condition list and two or three sample document sets. Live data access and retention are mapped during onboarding.

  1. 01

    Map inputs

Identify the order records, the destination condition lists, the document storage and the correspondence record.

  2. 02

    Set access

Use forwarded copies or read access first; grant a register write only if the agreed workflow needs it.

  3. 03

    Test fictional cases

Test a set missing one field, a consignee name that differs between two documents, and a consignment waiting a fortnight.

  4. 04

    Name approvers

Name who sends an enquiry, who may change a stored condition list, and who releases an assembled set.

[ OPERATING SPECIFICATION ]

Proposed turnaround.
Confirmed at onboarding.

Proposed timings are a document set assembled and checked within one business day of the order confirming, a returned document logged the day it arrives, an enquiry drafted within one business day of a consignment being flagged, and an audit file assembled within three business days of the goods going. The delivery team confirms these against your own destinations and volumes during onboarding.

Example output — fictional consignment A
Document set assembled and checked inside one business day of the order confirming
Example output — fictional consignment B
Consignment flagged as waiting on one document, enquiry drafted and queued
Example output — fictional consignment C
Returned document logged against its consignment with its date and reference
Example output — fictional consignment D
Audit file assembled with a gap list of two documents, awaiting a review decision
Weekly measures
Sets assembled; sets checked; consignments waiting on a document
Weekly measures
Documents returned and logged; enquiries awaiting a send decision; audit files closed
CONTROL / 01ONBOARDING

Start from your own records

Set up access, load the open consignments and the condition lists you keep per destination, backfill the documents you already hold, and review the first gap list together.

CONTROL / 02CAPACITY

Size the seat to the destination list

The delivery team confirms a range of consignments and destinations per week per seat, because one destination with a long condition list is not the same load as several simple ones. Beyond it, narrow the scope or add a seat.

CONTROL / 03ESCALATION

Surface dated items to a person

Escalate a consignment waiting longer than the agreed number of days, a set that cannot be completed from your records, a mismatch nobody has resolved, and anything the confirmed scope does not cover.

CONTROL / 04REGULATOR

No route to a regulator runs through Calder

Every request, declaration and reply to a regulator is made by your people or by the agent you have appointed. Calder assembles and checks the paperwork behind them and takes no position on whether a consignment satisfies anybody. Where your people have recorded an outcome, it sits in the register as a record like any other.

Capacity and turnaround are confirmed during onboarding for your consignment volume, destination list, document set and the day your nominated person reviews.

[ BEFORE THE AUDIT ]

Questions about the document chain.

Does Calder send the request or sign the declaration?

No. Calder assembles the set, checks it and hands it to your nominated person. Sending a request to a regulator, signing a declaration and certifying anything stay with the exporter, or with whoever the exporter has appointed. Calder never signs, never certifies and never transmits a document to a regulator.

Is Calder a customs broker?

No, and Skillforce does not hold a broker licence or offer licensed services of that kind. Calder does clerical documentation work on records you already hold. Classifying goods, advising on tariffs or duty, and acting as a customs broker are outside Calder's scope with or without an approval, exactly as they are for Tobin.

Who decides a consignment meets the destination's conditions?

Your people do, or the agent they have appointed. Calder compares the set against the conditions you have recorded and reports what is missing or inconsistent. Whether the consignment satisfies the destination, and whether it may go, are judgements Calder does not make and takes no position on.

Where do the destination conditions come from?

From your own reference records. The condition list you keep for a destination sets what a consignment to that destination needs, and Calder reads it as written. Calder does not source conditions from a regulator and does not interpret them for you. Anything your records do not cover goes on a dated query list for your people.

Which documentation system does Calder work in?

Whichever ones you already use. The register, the sets and the audit file are described in plain terms rather than against one portal, because the systems Australian exporters use differ by commodity and have been changing. Calder works from the copies you forward or from read access you grant, and never holds a credential for a regulator portal.

What happens when a document never arrives?

The consignment stays on the outstanding list with the document it is waiting on and the number of days it has waited, and it appears on the audit file's gap list. Calder drafts the enquiry and queues it; a named human checks it and sends it, because it leaves the office.

Does Calder contact the regulator, the carrier or the importer?

No. Every message that leaves the office is drafted, queued and then checked and sent by a named person in your team. Calder is never presented as the exporter, the agent or the consignor to anybody, and no reply comes back to Calder.

How is Calder different from freight and logistics administration?

Tobin owns the freight relationship: carrier bookings, the delivery-evidence register built from carrier records, and the freight invoice match. Calder works the document chain for a consignment going overseas, against the conditions recorded for its destination. Different register, different counterparties; which one holds what is set during onboarding.

How is Calder different from warehouse and inventory administration?

Ansel serves the stock record: counts, movements, and the data pulled out of your stock system to build count sheets. Calder takes the order and consignment details you supply and tracks the documents that have to travel with them. Calder moves no stock figure and adjusts no inventory.

What appears in the weekly report?

Document sets assembled and checked, consignments waiting on a document and how long each has waited, documents returned and logged in the week, enquiries drafted and awaiting a send decision, audit files closed, and the gap list behind any file that could not be closed.

How is capacity set?

The delivery team confirms a range of consignments and destinations per week per seat during onboarding, because one destination with a long condition list is not the same load as several simple ones. Above that range, the scope narrows or a second seat is considered.
