AI Meeting Records Administrator / Australia

Meeting finished.
Actions still visible.

Evan prepares agenda packs, source-linked draft notes and action registers from your written meeting records. Your meeting owner confirms decisions and sends every pack.

  • Human approval
  • Written sources
  • No decisions or sending

[ THE MEETING RECORD ]

Notes with a source.
Actions with a visible gap.

For an operations manager or office manager preparing routine internal meeting records. Start with one recurring meeting and one named reviewer.

01

Agenda pack

Your item order and supplied papers, indexed for the reviewer.

02

Draft notes

Each draft point linked to a written source and agenda item.

03

Action register

Recorded owners and dates preserved; missing fields left visible.

04

Open questions

Contradictory notes and unclear decisions held for the meeting owner.

05

Change history

Reviewer corrections and documented updates kept traceable.

Routine internal operations records only. Statutory and sensitive meetings are excluded. Scheme records stay with Reeve; technical project controls stay with Vera; ongoing member records stay with Darcy.

[ ONE RECURRING MEETING ]

Prepare. Trace. Hand off.

Documents and spreadsheet exports are enough to assess a first workflow. A platform connection requires separate assessment.

WORKFLOW / 01AGENDA

Assemble the supplied papers

Arrange the agreed agenda and index the papers your team provides.

START
Your approved item order and document set
DONE
A versioned agenda pack with missing papers listed
HUMAN
Chooses agenda items, participants and meeting rules
WORKFLOW / 02NOTES

Prepare the draft record

Use written notes without inventing missing context.

START
Authorised notes with agenda-item references
DONE
Draft points with source references and an ambiguity list
HUMAN
Confirms accuracy and what the meeting agreed
WORKFLOW / 03ACTIONS

Keep the working register current

Carry documented status updates into a separate working copy.

START
The prior register and written owner updates
DONE
An action register with unresolved fields and a change history
HUMAN
Assigns owners and deadlines and confirms completion

[ THE APPROVAL LANES ]

What Evan prepares.
What your people decide.

Every output is a working draft. Approval cannot enable an excluded act. A review pack does not become an approved meeting record by being prepared.

GREEN

Does it alone

  • Arrange the agenda and supplied papers in your agreed item order
  • Draft internal meeting notes from written source notes with an item reference beside each point
  • List actions, owners and dates exactly as recorded in the supplied notes
  • Flag missing owners, missing dates and conflicting notes without filling the gaps
  • Update a private working action register from documented status updates
  • Compile a dated review pack with unresolved items held aside
AMBER

Needs your approval

  • Hand draft notes and proposed action-register corrections to your named internal reviewer
  • Apply reviewer corrections to the working draft with a recorded change history
  • Change the working template or field list only after your named approver agrees
RED

Never delegated

  • Decide what the meeting agreed, infer a decision or assign an unrecorded action owner or deadline
  • Approve, sign or certify minutes, resolutions or the official meeting record
  • Send packs, reminders or messages to participants or anyone outside the nominated review team
  • Attend, record or transcribe meetings, or activate a meeting bot
  • Write to the official minute book, live task system or calendar, or delete source records
  • Determine quorum, voting rights, legal duties or whether a resolution is valid
  • Handle statutory board, member, strata or public-body minutes, or clinical, personnel, legal or safety-critical discussions
  • Make spending, employment, contractual or operational decisions on behalf of participants

[ THE DELIVERY AGREEMENT ]

A visible draft status.
A named reviewer at the end.

The examples below are fictional output shapes. They are not customer records or evidence of results.

Example — fictional meeting OPS-104
Item 03 / source note N-03: draft point prepared; decision wording awaiting meeting-owner confirmation
Example — fictional action A-08
Source note N-08 records a task but no owner or date; both fields held unresolved
Weekly measures
Packs prepared; source references present; actions missing owners or dates; drafts awaiting review; reviewer corrections
Proposed turnaround
Next-business-day draft after one complete agreed batch before the confirmed cutoff, subject to written onboarding agreement
Human review
Your named meeting owner checks every draft and owns the official record
CONTROL / 01ONBOARDING

Agree the source and reviewer

Provide a redacted agenda, written notes, supplied papers, prior action register and naming conventions. Nominate the meeting owner and escalation contact. Confirm source authority and test missing and conflicting notes before live work.

CONTROL / 02CAPACITY

Set the first batch limit

The delivery team confirms maximum meetings, source pages and action rows per batch, working hours, cutoff, review slot and turnaround in writing. Overflow waits for reprioritisation or separately agreed capacity. No live, urgent or unlimited cover is promised.

CONTROL / 03ESCALATION

Hold the uncertain item

List each missing source, unclear decision and conflicting date for the meeting owner at the agreed handoff. Do not guess an owner, deadline or completion. Unexpected sensitive content pauses the affected workflow and is escalated immediately via the agreed private route.

CONTROL / 04DATA HANDLING

Keep the record narrow

Use only approved non-sensitive inputs in client-approved storage with named access, retention and deletion instructions. No public sharing, cross-client reuse or model training on meeting records. No recording, transcript ingestion or live-system access is assumed.

Your meeting owner approves the official record and sends every pack and reminder. Evan works in a separate private draft copy. No statutory minute-taking, legal interpretation, task assignment or live-platform writes are included.

[ FROM AUDIT TO TRACKED WORK ]

One meeting series.
One review loop.

Agree the first delivery before supplying live records.

STEP 1

Map the record

Choose a routine internal meeting with redacted written notes.

STEP 2

Agree the limits

Confirm storage, named access, source format and batch size.

STEP 3

Test the gaps

Check a fictional missing owner and contradictory date.

STEP 4

Review the draft

Your meeting owner checks the pack and confirms the ongoing review slot.

[ BEFORE THE FIRST PACK ]

The questions to settle first.

Agree these boundaries in the load audit.

Does Evan take live minutes or join meetings?

No. Evan works after the meeting from written notes and supplied papers. There is no meeting attendance, recording, audio transcription or meeting bot. Your team remains responsible for the source notes.

Who confirms what was decided?

Your named meeting owner. Evan preserves the supplied wording, links each draft point to its source and flags ambiguity. An absent decision, owner or deadline stays unresolved. The draft is never treated as an approved record.

Which meetings fit?

Routine internal operations meetings with a named reviewer and non-sensitive written inputs. Statutory board, member, strata and public-body meetings are excluded. Clinical, personnel, legal and safety-critical discussions are outside this workflow.

Which tools are needed?

A written agenda, authorised notes, supplied papers and an action-register export in an agreed document or spreadsheet format. Work stays in a client-approved private workspace. No live meeting platform, task-system or calendar connector is assumed.

Can Evan send reminders or publish the pack?

No. Evan hands the pack to the nominated internal reviewer only. Your people check recipients, approve the wording and send all packs and reminders. No automated sending or publication is included.

How soon does a pack arrive?

The proposed starting target is a next-business-day draft after one complete agreed batch arrives before the confirmed cutoff. It becomes a commitment only after the delivery team confirms working hours, batch limits, review slots and turnaround in writing. No live or unlimited cover is promised.

How is this different from other Skillforce roles?

Reeve handles strata administration; Vera handles technical project controls; Darcy handles membership records. Evan prepares records for routine internal operations meetings. Evan does not take on scheme duties, project-control judgements or member decisions.

What happens to confidential information?

Provide only the minimum approved non-sensitive content. Agree named access, storage, retention and deletion instructions before work. Unexpected sensitive content pauses the affected workflow and is escalated immediately through the agreed private route. No public sharing, cross-client reuse or model training on meeting records.
